Overview

This page explains, in practical terms, how Flowybooks handles customer data across the software product and managed bookkeeping service.

What Data Flowybooks Processes

Depending on how you use the service, Flowybooks may process:

  • account and organization information
  • financial statements and transaction data
  • journal entries, account mappings, and reports
  • uploaded support documents such as receipts or invoices
  • bookkeeping-service workpapers and cash flow materials
  • payroll-related records from third-party providers such as Gusto, Rippling, ADP, or similar providers
  • billing records associated with Stripe subscriptions

Why Flowybooks Uses That Data

Flowybooks uses customer data to:

  • operate the software product
  • perform managed bookkeeping work
  • produce monthly statements and cash flow materials
  • support onboarding, billing, and customer support
  • maintain security, fraud prevention, and service reliability

Stripe and Billing Data

Stripe is used for payment collection, subscription management, and customer billing workflows.

Flowybooks does not store full card numbers. Stripe provides Flowybooks with limited billing records needed to manage subscriptions, such as customer IDs, subscription IDs, plan identifiers, and subscription status.

Payroll Provider Data

When payroll-related records are included in your bookkeeping workflow, Flowybooks may review and process exported reports or source data from systems such as Gusto, Rippling, ADP, or similar providers in order to reconcile payroll and reflect it correctly in the books.

AI and Automation Boundaries

Flowybooks may use AI-assisted tools to support extraction, categorization, summarization, or operational workflows.

Key boundaries:

  • customer data is not used for model training by default
  • high-risk personal data is minimized or redacted where practical before AI processing
  • AI output is used to assist workflows, not replace required accounting review

Human Access

Authorized Flowybooks staff may access data only when needed to:

  • deliver managed bookkeeping services
  • review bookkeeping onboarding
  • respond to support, billing, or technical issues
  • investigate abuse or security incidents

Data Sharing

Flowybooks shares data only with service providers and subprocessors needed to operate the service. For the current list, see Subprocessors.
